Build a destination ready seed buying brief

A destination-ready buying brief turns a broad catalogue selection into a precise request that a supplier can quote and assess. It should separate confirmed product information from commercial details, packaging preferences and destination-specific questions that still require review.

Start with the product list

Give each requested item a clear identity. Include the botanical name, variety name and catalogue reference where one is shown. Add the required quantity and the unit or pack size needed for resale. This is especially useful when several varieties have similar names, because it reduces ambiguity and helps the supplier match each request to the correct catalogue entry.

Separate known facts from open questions

Treat catalogue descriptions, listed prices and published quantity tiers as catalogue information rather than a confirmed order or final offer. Availability, final prices, shipping charges, available pack sizes, supply conditions and delivery arrangements are confirmed in the quotation. Keep unresolved points visibly labelled so the buyer can distinguish product data from information that the supplier must still verify.

Describe the retail requirement

State how the seeds are intended to reach the market rather than listing product names alone. Explain the requested pack sizes, labelling language and preferred delivery date. If the retailer has other packaging or presentation needs, describe them separately and avoid assuming that catalogue stock is available in those formats. Any agreed arrangements should be confirmed in the written quotation.

Add the destination precisely

Include the destination country and postal code, together with the business contact details of the retailer. These details allow the supplier to review shipping options and the documents needed for the proposed shipment. Do not use the destination alone as a substitute for checking current import conditions, which can depend on the species, variety, origin and applicable risk category.

Ask destination-specific questions

For a shipment to Great Britain, the relevant import check differs for England, Scotland and Wales from the process for Northern Ireland. For shipments to Australia, the current BICON case for each botanical name should be checked before shipment arrangements are made. Include the applicable case or required documentation in the request, but do not treat a catalogue listing as confirmation that import eligibility or particular documents have been approved.

Include the business context

Identify the purchasing business and provide a reliable contact person. If a variety is not listed, state the botanical name or variety name, the quantity and the destination so the supplier can check whether it can be sourced. Keep all lines linked to the same destination and commercial request; separate destination-specific assumptions should not be applied automatically to every item in the basket.

Add a final review section

Before submitting, check that every item has an identity, quantity and unit; that the destination and postal code are stated once and consistently; and that packaging, labelling and delivery expectations are clearly marked as requests. Also verify that quotations, documents and import decisions are distinguished from catalogue facts. A non-binding enquiry can then provide the supplier with a structured basis for reviewing availability, price and shipping conditions.
